PoolParty-Based vs. Term Store-Based Tagging with PoolParty for SharePoint
PoolParty for SharePoint allows you tag content in SharePoint document libraries and lists with concepts from PoolParty and Term Store. PoolParty tags are stored in PoolParty for SharePoint multiple lines of text columns whereas the Term Store tags are displayed in an Managed Metadata column of an item.
Feature | PoolParty-Based Tagging | Term Store-Based Tagging |
---|---|---|
Dependency | Can be used without Term Store-based tagging | Can be optionally enabled in addition to the PoolParty-based tagging while establishing or updating a connection to a PoolParty taxonomy Requires the Term Store Synchronization module TipIf you want to only make use of the Term Store-based tagging, you can consider hiding the column with the PoolParty tags or disconnecting the library or list from the PoolParty taxonomy (select the option to preserve Term Store tags). |
Source of tags | PoolParty taxonomy or concept schemes | Term Store term group (should be an exact copy of the PoolParty project used for PoolParty-based tagging achieved using the Term Store synchronization feature; synchronization of GUIDs is not required) |
Storing of tags | multiple lines of text columns | Managed Metadata columns |
Manual tagging | tags can be manually added, deleted or marked as unwanted | the fields are read-only and dependent on the changes you make to the PoolParty tags as long as a connection to a PoolParty taxonomy exists the tags become manually editable (you can delete them or add new ones from the term set) if you disconnected the library or list from the taxonomy while preserving Term Store tags |
Tagging parameters | can be set in the PoolParty for SharePoint Administration application | inherited from the settings for the PoolParty-based tagging |
Use cases | tags can be used to retrieve content in the PoolParty for SharePoint Search application | tags can be used to retrieve content in the SharePoint-native search or to enhance third-party integrations |
